Network printer randomly deletes itself

I have installed a ricoh mpc3502 in a school. Put it on the network and shared it out, to several PC's and laptops used within the school. But every week or so 1 person says they cant print and when I look at their laptop it says 'printer deleted' so its just greyed out. Its easy to 'remove device' then just re-add the network printer, but what is it that keeps deleting it. I know its not the users that are doing it.
Also they all have 4 digit user codes to monitor printer usage, does that have anything to do with it?
 
Check your lease expiration dates on the IP address with the DHCP server. On several of the printers I have used in the past, I have had to assign a permanent IP address based on the MAC Address of the printer. If the printer is ever rebooted, the IP Lease expires, or other event happens, the printer will still be functional. When the IP address changes on the printer, some computers don't reconnect automatically.

Its not set to DHCP, its got a set IP address so it should never change no matter what type of reboot. If it changed everyone would not be able to print until I changed it back.

Im almost positive they stay in the school locked in a cupboard, but I will ask that next time I speak to one of them.
Surely when they brought them back and connected to the schools network it would show as online again and carry on as normal? Its actually saying its been deleted
 
I have worked with many computer users - most are nowhere near technically savvy, and everyone of them swear "I didn't do anything and this happened". My guess is that somehow it is losing network connectivity, either by not being connected at the school, or used outside the school.
