Outlook 2010 archiving question

Hey all.

I have a huge pst (49GB). I created a new pst and set Outlook to archive everything before July4 (2014).

This user has their Outlook setup with dozens of folders based on each client. These folders are all listed under the orignal 49GB pst.

When archiving, some items within those folders potentially (almost guaranteed) will be moved the the archived pst.



Will those folders still work as a means of navigating the emails?

For instance, I have a folder for one client spanning several years. If 80% of it is from before July 4 2014, will I still be able to access it from the folder listed under the orignal pst?

When you create a new archive, the folders from the active PST are used to populate the folder structure of the archive PST. In my professional life, I use a series of common folders that I have used for years. I can still change the folder structure in a current PST and those folders will be added to the archive when I actually add messages to it (auto-archiving).

I, too, have multiple large PSTs. I have had no issues with the folder structures within any of them, even those than have spanned across multiple years.

A single 49GB PST is getting pretty unwieldy. I would suggest breaking this huge PST into smaller (like per year) PSTs for ease of use.

Thanks. I agree 49GB is craziness and should be split. My plan is to test the first archiving process then create separate pst for each couple of years (emails go back to 2007-2008).

I think I may not have worded my question poorly.

Can a folder, listed under the original pst, view files that were originally in the folder, but moved to the archive pst?

Basically I want to know if I archive everything b4 July 4 2014, am I going to have to reconfigure the folders under the original pst, or will the folder work across the now multiple psts.

I think I understand your question better now. No you can't do what you are asking about. Searching folders across multiple PSTs does not appear to be supported.

For example, I have my active PST and 5 years of archived PSTs configured on my Outlook 2010 client right now. I have a common folder system that spans multiple PSTs. A search of folder(s) only looks in the PST that I am in at the time of the search (in the single PST).

In your case, a single PST would be a monster to index for effective searching, but it does support your intent better.

Sorry if I confused you. Maybe another user will shed some more insightful light on this.

How did you develop a common folder system that spans accross multiple PSTs?

That may be a huge task given the PST size and the amount of folders (dozens and dozens :)), but it would be worthwhile to know.

At this point, I spoke with the user and she said she doesnt care about anything before 2013, so I am not too concerned.

But a common folder system may be useful in the future.
