Managed Network Printing

Got a interesting question, hopefully someone out there has done this one already. I'm currently managing a small business network, around 15-25 clients given any time of the day/week. We have a Canon imagerunner 2525 multi-function copier which can, and has been used in the past, as a network printer/scanner. This is nice because it has very fast printing at a nominal cost. Recently we have decided to get the copier back on the network after being offline for a while, however, only one computer connected to the network will have print capabilities to the copier. I'd like to take that capability a bit further to ensure that only authorized/managed persons can print to the copier. This will allow us to keep costs low on printing, since we are charged per copy/print made by the company who we lease the copier from.

Is anyone familiar with the imagerunner drivers allowing you to match user codes/passwords with the user codes/passwords programmed into the front panel of the copier? It's easy on the copier to track/limit copys by requiring the user code (numerical user name basically), and a user passcode before the machine will operate and i'd like the same functionality from a Windows 7 Pro based computer. I'd like it to work like such,

User on computer decides to print to the copier, print dialog opens up, user presses print, window pops up asking for user code and passcode for authentication to print, correct credentials entered, document(s) print to copier.

Anyone done anything like this ever? Thanks much in advance.

We are not running a domain server or Win 7 Enterprise clients, so no individual user logons for the computers or wireless clients

You've probably already figured this out, but those copiers do support User Codes. IIRC, the code can be put into the printer properties when you're getting ready to print. If you don't have a User Code and Codes are enabled on the copier, then the copier will automatically dump any print job that doesn't have a valid code.

You can also limit access to a copier for printing by creating a printer queue on your server, and then limit access to the queue to only specified users.
